Morning Meetings and The Magic of Flexibility
Our day usually starts with a quick huddle to touch base and see where everyone’s at. Since we’re often travelling for events, there isn’t a one-size-fits-all schedule. However, when we are in the office, this brief morning meeting is our chance to check in, offer help, and align priorities for the day. It’s a perfect example of our team’s commitment to staying coordinated and supportive.
Crafting Unforgettable Events
One of our most popular projects is designing and executing Amazing Races. These events are a blend of excitement and meticulous planning. Here’s a sneak peek into the process:
1. Initial Booking: It all starts with a client booking. We then set up a TEAMS or Zoom meeting to understand their vision and requirements.
2. Planning Phase: We determine start and finish locations, plot the route, and create custom clues. Since every Amazing Race is uniquely tailored, no two events are ever the same!
3. Packing and Prep: Once the race is planned, we put clues into envelopes and pack bags for our staff, ensuring every detail is in place for a smooth execution.
Behind the Scenes: Roles and Responsibilities
In our office, the roles are as dynamic as the events we create:
- Operations Ninja (That’s Me!): I manage travel arrangements, event planning, client communications, and payroll (and blog writing!!). It’s a multifaceted role that keeps everything running smoothly.
- Director of Fun: Kerri is our business manager extraordinaire! She handles business administration, company growth, and maintains crucial client and third party relationships. She loves getting out of the office and hosting events!
- Facilitator of Fun: Anastasia is our Facilitator of Fun & boy doesn’t she know how to have fun. She has the epic responsibility of managing our social media & is also one of our amazing, experienced event planners. She also heads up our awesome Brisbane team.
Tools and Techniques
To keep track of everything, we rely on a robust CRM system. This tool helps us manage our events and maintain clear communication with clients, ensuring every detail is meticulously planned and executed.
Overcoming Challenges
December is our busiest month, managing up to 15 events in a single day. It requires exceptional planning and coordination. Despite the whirlwind of activity, our team thrives on the challenge and the satisfaction of pulling off such a high volume of successful events.
Team Dynamics and Communication
Effective communication is the backbone of our operations. Whether we’re coordinating between the executive team or ensuring our event hosts are in sync during an Amazing Race, staying connected is key. Our team’s ability to work together seamlessly makes all the difference.
The Rewards of a Busy Day
One of the most rewarding aspects of our job is the sense of accomplishment when we successfully execute a large or complex event. There’s nothing quite like returning to the office after a marathon day in December and realising we’ve achieved something remarkable. It’s these moments that make all the hard work worthwhile.
Balancing Work and Family
While we’re passionate about our work, family is equally important. By 3 PM, we’re often out for school pick-ups, and after a brief family break, we’re back at it by 4 PM. Balancing work with family life is a priority, and it’s a testament to our flexibility and dedication.

To keep our team motivated, we have a ‘Star Awards’ system. Our hosts earn points for receiving five-star reviews, with quarterly winners receiving travel or dining vouchers. It’s a fantastic way to recognise and reward exceptional performance.
